1. Platform purpose and transaction agreements
ExportFlow helps clients and their service team exchange product requirements, offers, documents, messages, and production and shipment updates. Available actions depend on the user's role and permissions.
These terms govern website use. The parties to a transaction, their details, and the obligations of a seller, buyer, agent or carrier are defined in the relevant agreement. Its agreed terms take priority on matters concerning that shipment. Registration alone does not create an obligation to buy goods or pay for an unagreed service.
2. Accounts and authority
The platform is intended for business use by adult company representatives. Provide accurate information, keep company details current and act within your authority. An administrator may verify the company and employee before activating an account.
Do not share your password. Notify the administrator about lost access, suspicious activity or the end of an employee's authority. Company verification and account activation do not guarantee solvency or performance of a transaction.
3. Requests and product requirements
A request specifies products, quantities, units and required characteristics. Before confirming an order, provide any certification, inspection, packaging, carton-marking and delivery requirements, together with necessary files and samples.
Submitting, repeating or importing a request starts its review; it does not guarantee availability, price or a production date. Changes after approval require separate agreement and may affect cost and timing.
4. Offers and estimates
Check the scope, version, currency, quantities, prices and conditions before accepting an offer. Accepting selected items does not accept other items or later changes. The legal effect of an action depends on the confirmation shown and the applicable agreement.
Preliminary freight, exchange-rate, duty and destination-cost calculations are estimates. Final amounts, payment and delivery terms are recorded in agreed documents. A suggested HS code is not a customs authority's determination.
5. Contracts, documents and signatures
Documents may be populated automatically from company and request details. Before sending, approving or signing, check the parties, number, date, signatory's authority and material terms. At the contract stage, a client may submit its own form or signed copy for review by the manager.
Uploading a file does not itself mean the other party has signed or accepted it. A signature or stamp image is not automatically a qualified electronic signature. Use it only with authority and for the specified document. A revised version requires the approval prescribed by the agreement; keep final copies.
6. Payments and refunds
Pay using the agreed bank details for the transaction. Verify any change through a previously known contact channel. Uploading payment evidence or marking a payment as sent does not confirm receipt of funds; the responsible party checks receipt.
Deposits, balances, bank fees, cancellations and refunds are governed by the agreement and mandatory law. Closing an account or archiving a request does not cancel an existing order, debt, delivery obligation or valid refund claim.
7. Stages, dates and messages
Stages and history show information entered by participants. They do not replace the agreement, bank confirmation, transport documents or goods acceptance. Planned dates are estimates unless the parties have agreed a binding deadline.
A Received, Completed or Archived status does not by itself waive quality claims. Read indicators relate to the relevant chat participant: an administrator's viewing does not confirm that the assigned manager has read the message. Material changes require explicit agreement; silence is not confirmation.
8. Translations and automatic preparation
Automatic translations and generated documents require human review. Technical and legal wording may be mistranslated; clarify differences with the counterparty using the original. An automated feature does not sign a contract or confirm payment on behalf of an authorised person.
9. Files and confidentiality
Upload only materials you are entitled to use and share for the request. Rights in your drawings, photographs, trademarks and documents remain with their owners. Using the platform involves processing these materials to the extent necessary for the agreed work.
Do not disclose non-public information obtained through the platform outside the agreed work or another lawful basis. Sharing specifications with a factory, carrier or other shipment participant must be limited to necessary information. Personal information processing is described in the separate policy.
10. Prohibited use
Fraud, forged documents, unlawful goods, infringement, malicious uploads, bypassing access controls and accessing others' requests or files without permission are prohibited. Do not use the service for false declarations, concealment of transaction participants or evasion of applicable trade restrictions.
Each party is responsible for requirements applicable to its activities. The agreement allocates duties concerning certification, customs clearance, permits, insurance and delivery.
11. Access and responsibility
Maintenance, faults or external services may interrupt access. Report errors with the request number and failed action; use the agreed manager contact for urgent matters.
An administrator may restrict access for a rule breach, security threat or lawful requirement. This does not terminate obligations already incurred. Responsibility is governed by the relevant agreement and applicable law; these terms do not remove rights or obligations that cannot be excluded by agreement.
12. Enquiries and changes
Send questions about the service, access or disputed actions to the contact below or through the request chat. Identify the account, request and issue without sharing your password. Shipment disputes follow the relevant agreement and applicable law.
The revision date appears at the top of this page. Updating this text does not automatically amend signed contracts or agreed shipment terms, or replace separately required consent. Russian, English and Chinese versions are available; clarify any differences before accepting a material obligation.
